Strategic Calendar Management

I use scheduling prioritization techniques that are aligned with the Executive's preferences and needs, as well as the overall strategic goals of the organization. By effectively managing the Executive's calendar, I help optimize their time and resources, increase productivity, and improve overall efficiency. My strategic calendar management skills help reduce scheduling conflicts, avoid double bookings, enhance relationships, and ensure that important deadlines are met. I am equally comfortable working with complex Google, Outlook, & Proton Calendars.

Travel Arrangement
I am skilled in local and International flight arrangement. Booking of private charters. Ground transportation (rental cars, limos, trains). I provide assistance with travel documentation, passports, obtaining visas, analysis of most current international travel requirements and conditions. Lodging/accommodations (hotels, Airbnb). Travel insurance. Expense accounting and reimbursement.

VIP Meetings
I have extensive experience arranging and supporting meetings with high-level individuals and groups (Mayors, university Chancellors, members of the California Governor’s office, highest level directors at NIH, NSF, and FCC, Executives and Board Members of Fortune 500 companies and large NGOs. I provide exceptional meeting support, to include agenda preparation; assistance with A/V; arrangement of catering and private dinners; minute taking; meeting content analysis, summarization and development of the "next steps". If necessary, I am able to provide certain inputs during the meetings, especially when it comes to logistical information, potential time allocation, & future scheduling.

Email and Other Communication
I provide assistance with management of the Executive's email: sorting and organizing the Executive's inbox, prioritizing important emails and responding to urgent messages. Drafting and sending emails and documents on the Executive's behalf, proofreading and editing drafts created by the Executive, as well as creating graphics for the documentation.
I have a deep understanding of business processes and business lingo, and I am able to draft any type of business communication including simple contracts.  I have experience in writing detailed briefings for high-level Executives, composing job ads for scientific and academic recruitments, as well as writing applications for grants. I can create and edit complex PowerPoint and other types of presentations.

Organization, Streamlining, and Confidential Documentation
Digital, paper, or combination thereof, - I can safely organize, file,  digitize, & systemize various sorts of documentation. Sensitive and confidential information will always be handled with the highest levels of discreetness and confidentiality.

Events
With a strong track record of large events organization (200+ people in attendance; in person, online, and hybrid modes), I've got your events needs covered as well. My experience includes organization and management of large scientific conferences, TED-style speaker series, corporate retreats, corporate holiday celebrations, participation in trade shows, and more. My work was instrumental in winning the World Design Capital 2024 designation for the San Diego and Tijuana Cities.

Project Management & Leadership
I provide project management and project support services. My experience includes overseeing complex projects, like highly specialized, policy-heavy, interdisciplinary academic recruitments and large conferences & events, using a combination of traditional waterfall and agile approaches within complex environments (like International public-private-academia partnerships).
My Leadership principles are: "leading from the middle" (with an emphasis on facilitating collaboration between all layers and stakeholders of the project, combined with a servant-leader approach); and "leading by example".
In addition, I provide training to other administrative professionals by teaching them my techniques & approaches and guiding & mentoring them through the process.

Technology
I provide assistance with setting up and maintaining the Executive's technology, including computers, smartphones, and other devices. This may include installing and updating software, troubleshooting technical issues, and ensuring that the Executive's technology is running smoothly, as well as providing guidance on how to use specific software programs, setting up and managing online accounts, and providing general assistance with technology-related tasks. My software skills include but are not limited to MS Office; Google Suite; Adobe Acrobat Pro; Asana; Slack; Monday.com; Webflow; Canva; Docusign; Zoom; MS Teams; Google Meets; Oracle Finance; Concur Travel, Eventbrite, and more. I strive to stay on top of the latest technological trends in order to provide better support to the Executives.

Other Skills
I am skilled in conducting research on a wide range of topics, ensuring the credibility of  sources; experienced in establishing new and managing the existing vendor and contractor relationships for an organization; as well as providing general operations support. Depending on my duties and responsibilities arrangement, I can assist with both, business-related and personal projects or tasks: from purchasing gifts for the Executive's connections; to providing intermediate-level assistance with their investment portfolio management (like executing basic trades of certain securities per the Executive's directions or monitoring market movements); to independently managing special projects on the Executive's behalf. My motto is, if I don't know the answer right away, I will go and figure it out!
